Introduction to Copilot Microsoft Integrations

Save your files to OneDrive or SharePoint to use Copilot effectively.

Discover how Microsoft's Copilot seamlessly integrates AI capabilities directly into Excel and other Microsoft applications, streamlining data processing tasks. Learn important setup considerations to ensure smooth implementation within your organization.

Key Insights

  • Utilize Microsoft's Copilot integration in Excel, Outlook, Teams, OneNote, Power BI, Loop, and Edge to automate tasks, such as automatically generating formulas to split data into separate columns.
  • Understand that Copilot requires files to be stored in OneDrive or SharePoint for cloud-based processing, meaning locally stored files won't benefit directly from Copilot's AI assistance.
  • Ensure Copilot is properly enabled within your organization by communicating with IT administrators, as settings can vary based on organizational and individual user-level policies, potentially requiring troubleshooting or account reconfiguration.

So, for us, just so we can compare the difference between having it do things for us to make the Excel and doing it for ourselves. We would want to do sort of everything in one go. I've got data, and doing it in the chat is different from doing it in the app, right? I have an Excel file or a Google Sheet, and something is in one column, and something is in another.

How do I create new columns for first and last names? So, let me actually just copy this so I don't have to type it out. Just to save some typing here. And I can create a new app for this, just so we can see the difference here.

If you check here, it can do that. You can say I've got this in this column, I've got this in this column. And it can say, okay, let me use that and let me write the formula.

And then you can go copy and paste that formula into Excel, but you're not in Excel. But what if we could do this in Excel? Then we don't have to copy and paste to do this, right? And so, it can tell you how to do it. And that would be how you'd have to do it if you're using Google Sheets, for example.

But this is the advantage of using Copilot and having it be integrated if we're paying for it, is we don't have to just use this. This is kind of the ChatGPT style. ChatGPT is not integrated into an app, so it has to tell us how to go do it. Where Copilot really sets itself apart is through its integration.

So, it's in Excel, in Outlook, in the browser. It's in Teams for both. It's in OneNote using the Notes app.

It's in Power BI. Loop—has anybody heard of Notion? So, Notion is kind of like Microsoft's. So, Loop is like Microsoft's.

You can be in Loop, right? It's actually kind of interesting. You can actually take and you can create Loop components, and you can use those components, let's say, in an email and in a Word file. And when you update that Loop component, it updates in all the places where you use that Loop component.

So, it could actually use some content in an email and in a Word file and in a presentation. And when you update that Loop component, it updates everywhere in all of those places. So, it's actually kind of interesting.

And then, of course, their Microsoft Edge web browser. So, Copilot's integrated kind of everywhere. And so, we're going to go through.

Keep in mind, the free version does not work with this. You need to have either the Pro or the 365 Copilot. Now, if you don't see this, for example, when I first signed up, I didn't see it initially.

You might just have to quit the app and restart it. Then it might work. If it's still not working and you've restarted your whole computer, it's still not working and you know you have the license, try just signing out of your account and signing back in.

Because I had to do that. I had to sign out and sign back in, and then it worked. If you ever have any issues, especially if you're at an organization, talk to your IT people.

Because the organization does have to set up Copilot. We were just having this discussion in the back. So, let's say there's not a work tab.

And you're like, well, I know this is given to me from my organization, but there's no work tab. Maybe they didn't finish doing the Copilot setup to enable that. Or maybe they disabled it.

So, because it's an organization and there are some Administrators at your organization, it's up to them to determine what features you get. So, it's possible that they intentionally disabled something because they don't want you using it. Because this is a business-oriented product, I can't say exactly what features you have because they might have disabled features.

Or they might not have finished setting up those features. So, I can talk about things or it could be different depending on how your Administrators have set this up. If you're not sure, talk to your Administrators and say, hey, I know that this is possible.

Are we going to set this up? Maybe they just didn't set it up. Also, I had an issue when I was trying to use Microsoft Teams for the first time where I couldn't do transcription. And transcription is required to use code transcription.

So, the AI process. And so, I didn't know why it wasn't working. I'm actually here for our organization.

So, I looked in the admin, and the organization had no limits. It should have worked. And I actually had to call up Microsoft support.

And for some reason, my single account had a different policy set on it. And I'm like, wait a minute, I'm the organizer. And I know nobody else in my company went into my account specifically and put a limited policy on.

So, I don't know why. I guess I was meant to teach you. It could be an account policy.

So, there are organization-wide policies and then individual user policies. So, your Admins, I'm sure they're still learning how to set up Copilot and how to work with it. So, just be patient as they're learning this side of things—that there are organization-wide policies and then there are also account-specific policies.

And it wasn't until I went into my account-specific policy and saw, oh, wait, that's limited, and switched it to the organization-wide policy that then I got the ability to do it. But also, it didn't work right away. I had to wait until like the next day for that policy to take place.

Sometimes those organization-wide policy changes or user policy changes take a little bit to take effect. So, it didn't work right away, and I thought, oh, I guess I didn't fix it. But then I logged in the next day and everything was fixed.

So, sometimes these policy changes take time. So, it might be that they need to set this stuff up. So, if you see something not working and you know you have Copilot, talk to your IT Department, your Administrators, and just talk through it with them and just say, this is the situation.

Are we going to get this feature? Is it maybe just not set up? And have a communication with them. Also, when we're working with files for Copilot, these files must be saved to OneDrive or SharePoint. SharePoint is just kind of the corporate version of OneDrive.

So, for example, if you just have your file in a random folder on your computer, that will not work with Copilot. Because behind the scenes, Copilot is leveraging that cloud storage to do cloud processing. So, it doesn't work locally on your machine.

It works through cloud processing. So, that means you have to save your files into OneDrive. So, if you have a file on your computer and you want to use it with Copilot, you have to save it into OneDrive first before you use it with Copilot.

Thank you.
