Prep Before Class

Well in advance of your class, make sure you have the following:

  • Class Files: Make sure you have the class files downloaded onto your computer.
  • Zoom app: Our online classes use an app called Zoom. It’s free for you. Install and set up the Zoom app on your computer well before your training, and make sure everything is working. (See instructions below.)
  • Microphone or Phone: If you’ll be using your computer’s audio, you need a decent microphone. If your computer does not have a good enough microphone, or your internet upload speed is not that good, use your phone instead.


Installing & Setting Up Zoom

Download/install the Zoom app (it’s free for you). If you’re running macOS Catalina you may have to give Zoom permissions. Granting those permissions you require restarting the Zoom app.

After it’s installed, launch Zoom.

Click Sign In and use the account information we provide to you. We have multiple Zoom accounts, so be sure to use the correct account for this occurrence of the class!

In the Meetings tab, select the Upcoming meeting for your class and click Start.

Once you’re in the meeting, connect and test your audio: 

  • Computer Audio: To use your computer’s speakers/microphone, click Join With Computer Audio (or Join Audio in the bottom left).
  • Phone Audio: To use your phone to listen/talk, click the Ph1Call tab (if you see it) or refer to the phone numbers in the email we sent you with the Zoom invite.

To test your audio, hover over the Zoom window and click the arrow next to the Mute button and choose Test Speaker & Microphone and follow the prompts.

Your audio may be muted when the meeting starts. At the bottom left of the Zoom window:

  • If you see a Mute button, others can hear you. Click the Mute button to turn off your microphone so others cannot hear you.
  • If you see an Unmute button, others cannot hear you. Click the Unmute button to let others hear you.


Start the Screen Sharing

  • Click the Share Screen button (in the middle or bottom of the Zoom window) so students can see your screen.


Make Sure Zoom is Recording

  • We may have set the meeting to record automatically, but please make sure each session that it’s recording.
  • In the green bar below the Zoom control bar, to the right of the meeting ID you should see a cloud icon with a blinking red dot. That indicates it is recording.
  • If it’s not recording, in the Zoom control bar click More (…) and choose Record to the Cloud.


See Who’s in the Meeting

  • In the Zoom control bar click Manage Participants. (If the controls are hidden, hover over the small bar and they will reappear.)


Operating the Chat

  • Open the chat window: In the Zoom control bar click More (…) and choose Chat. (If the controls are hidden, hover over the small bar and they will reappear.)
  • Some people will prefer to type into the chat, instead of speaking. To respond, you can either type or speak.


View/Control a Student’s Screen

  1. Stop sharing your screen.
  2. Tell the student to click their Share Screen button (in the middle of the Zoom window).
  3. They choose what they want to share (such as Desktop 1 which should already be selected).
  4. They click Share (at the bottom right of the window).
  5. If you need to take control of the student’s screen, click on View Options and choose Request Remote Control.
  6. Tell the student to accept the request.
  7. When done, they can click Stop Share, or you can end their sharing by going to the Zoom control bar, clicking View Options and choosing Stop Participant’s Sharing.


Class Procedures

IMPORTANT! The first time a class meets, start the Zoom meeting 20 minutes before the official class start time to help people get set up, make sure their audio works, etc.

Please provide students a way to reach you in case they get disconnected and have problems getting reconnected. Ideally provide your cell phone number, but you could give them your email address if you get notifications that you can see during the training (otherwise email won’t be fast enough if you’re not checking it).

Using your personal computer? Before starting each class, silence notifications so students won’t see potentially embarrassing things!

  • Mac: Hold Option and in the menu bar click the right-most icon for Notification Center.
  • Windows 10:
    1. Click the Action Center button in the bottom-right corner of the screen.
    2. At the top right of the Action Center click Manage notifications.
    3. Turn notifications off.

Tell students who when they’re not speaking, please mute themselves so background noises won’t be distracting to the teacher and other students.

If you’re doing a remote only class (with no one in-person), open the chat so you can see student’s comments/questions as soon as possible. If you have a second screen to put the chat on that’s helpful. You can also drag the Zoom controls to the second screen.

If you have students work on an exercise on their own, tell them to write Done in the chat when they are finished. This way you’ll know when it’s time to move on to the next exercise.


Audio Problems?

  • If only some students are having audio issues (garbled audio, or cut outs) it’s an issue with their internet connection. Have them call the phone number for Zoom, which can be found in the email we sent them. They will also need the meeting ID which (also in the email). You can also find this information as explained below.
  • If everyone is having problems hearing your audio (garbled audio, or cut outs) it could be an issue with your internet connection. Call the phone number for Zoom and enter the Meeting ID. You can find this information as explained below. Then turn on speakerphone and consider plugging into power to make sure you phone does not power off. Make sure you mute your computer audio so you don’t get an echo! 
  • If someone is creating feedback or echo, make sure they are only using one audio source (phone or computer), not both.
  • In the Participants window you can hover over a name and click Mute, but only do this as a last resort! Ask them to Mute themselves (they’ll need to Unmute themselves later to talk).


Zoom Phone Numbers & Meeting ID

Students have this information in the email we sent with the Zoom link, but if they can’t find it, l you can location the phone numbers and meeting ID as follows:

  • In the Zoom control bar, click the arrow next to the Mute button and choose Switch to Phone Audio (it won’t actually change your audio… it will only show the info).
  • If you need to copy the info, click into the window and hit Cmd–A (Mac) or CTRL–A (Windows) to select the text. Then hit Cmd–C (Mac) or CTRL–C (Windows) to copy it. You could then paste it Cmd–V (Mac) or CTRL–V (Windows) into the chat or email.


External (or Dual) Monitors

If students have a second screen, make sure that Zoom and the app they’re learning are on the same screen (so you can see it if they need help). They can use the second screen for the eBook.
